Privacy Policy

Guardian Alert (the "Service") is a multi-channel incident alerting and accountability platform operated by GuardianCAD Systems LLC ("GuardianCAD," "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and safeguard information when subscriber agencies and their authorized personnel use the Service.

• Responder profiles: name, badge or unit ID, rank, agency affiliation, group membership, and on-call status.
• Contact channels: agency email address, mobile number for SMS / MMS, and web push tokens used to deliver alerts.
• Alert & incident data: dispatched incidents, priority, type, address, narrative, attached media, and the responders targeted by each alert.
• Delivery & response telemetry: per-channel send status, acknowledgments, ETA, on-scene and clear timestamps, and audit-trail entries.
• Device & session data: IP address, user agent, and authentication session metadata used for security and abuse prevention.

• Route alerts to responders by Email, SMS, MMS, and push.
• Maintain accountability logs and a tamper-evident audit trail for each incident.
• Provide dispatch consoles, dashboards, and operational reporting to authorized agency staff.
• Authenticate users, enforce role-based access, and detect misuse of the Service.
• Comply with lawful requests, court orders, and applicable public-safety records laws.

When a subscriber agency connects Guardian Alert to its Computer-Aided Dispatch (CAD) system, we receive incident records — including address, type, priority, and narrative — for the sole purpose of generating and delivering responder alerts. This data is processed under the agency's records-retention policy and is treated as confidential public-safety information.

• TLS 1.2+ encryption in transit; AES-256 at rest.
• Tenant isolation enforced at the database layer via row-level security policies.
• Role-based access control with least-privilege defaults.
• Continuous logging, alerting, and periodic security reviews.
• Encrypted, geographically redundant backups and documented disaster-recovery procedures.

Incident, alert, and delivery records are retained according to the subscriber agency's records-retention schedule and any applicable state or federal public-safety retention requirements. Account information is retained for the duration of the service agreement plus a reasonable period thereafter. Agencies may request export or deletion of their data subject to statutory retention obligations.

We may share information with:

• Partner agencies participating in mutual-aid or interoperability agreements with the subscriber agency.
• Service providers (e.g., telecommunications carriers, cloud and email infrastructure) that process data on our behalf under written confidentiality and security terms.
• Legal & regulatory bodies when required by law, court order, subpoena, or to protect the rights, safety, or property of any person.

We do not sell or rent personal information to third parties.

Guardian Alert delivers SMS and MMS messages through licensed telecommunications carriers (including Twilio). Message frequency depends on incident volume in the subscriber agency. Standard message-and-data rates may apply. Recipients may reply STOP to opt out of non-critical messaging or HELP for assistance. Critical, life-safety dispatch alerts are sent under the agency's emergency-notification authority.

Subject to applicable law and agency records-retention requirements, you may request to:

• Access the personal information we hold about you.
• Correct inaccurate or outdated information.
• Restrict or object to certain processing activities.
• Delete information that is no longer required for the operational or legal purposes for which it was collected.
